Type of Information:

Information that is held includes email address, customer name (first and last and date of birth) of people signing up to the mailing list; clients that sign up for a discovery call the information held will include first name, last name, email address and contact telephone number.

For any programs bought through the website the customer submits their financial information.

The website collects user stats that include an IP address – this enables tracking how effective content created for the website is as well as letting us know how many people are interested in the business.

Clients that move ahead with a one-to-one program will consent to share sensitive health data with their practitioner in order to create a health plan in consultations.

How we Gather Information and why:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

In order to stay in touch with people who are signed up to the mailing list we keep email addresses. We keep a date of birth in order to offer an annual discount on services and wish our clients a happy birthday. Anyone wishing to be removed from the mailing list can be unsubscribed. Anyone who does not wish to have their D.O.B on file can request for this information to be deleted from our files.

We get financial information if someone purchase a program through the website.

Any client that signs up to a discovery call will submit their email address and a contact number in order to make the phone call.

The website statistics are collected when a user visits the website through cookies, users can edit their cookie preferences. The grounds for collection of user stats is to improve the user experience of the website as well as to improve business.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting marjolein@hormoniously.com.

(b) We have a contractual obligation (regulated by BANT for nutritional therapy clients only).

(c) We have a legal obligation (regulated by BANT for nutritional therapy clients only).

(d) We have a legitimate interest.

What we do with the Information:

We only work with GDPR compliant third parties but the following information is processed by an external company:

Mailing list – we use Mailchimp and Active Campaign to store email address lists – they state that they are GDPR compliant.

Scheduling discovery calls and consultations – we use Accuity Scheduling system, they state that they are GDPR compliant.

Payments – we use Stripe and Practice Better, they state that they are GDPR compliant and secure.

Events – we use Eventbrite for ticket sales, they state that they are GDPR compliant and secure.

Data Storage – we use Practice Better and Dropbox for business to store client data, they state that they are GDPR compliant.

Laboratory Testing – we work with Regenerus laboratories and Invivo Clinical to carry out functional testing, they both state that they are GDPR compliant and secure.

How we Store your Information:

Client details (those that go ahead with a nutritional therapy program) are kept on file (paper details stored in a locked filing cabinet and electronic files password protected and stored in Dropbox Business account) for 7 years after any active contact in line with BANT (British Association of Nutrition and Lifestyle Medicine) requirements. After this time any computer files will be deleted and physical documents will be shredded. Customers who have consented to be on the mailing list will remain indefinitely but can cancel at any time using the unsubscribe button. They are able to sign up again at any time.

Your right of access- You have the right to ask us for copies of your personal information. 

Your right to rectification- You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure- You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing- You have the right to ask us to restrict the processing of your information in certain circumstances. 

Your right to object to processing- You have the the right to object to the processing of your personal data in certain circumstances.

Your right to data portability- You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
